Bar Mitzvah Timeline: 12 Months Out to the Big Day

A month-by-month Bar and Bat Mitzvah planning timeline for Charlotte families, from booking the venue and MC to the final walkthrough.

If you are reading this, there is a date on the calendar (or there's about to be) and a list in your head that keeps getting longer. That's normal. A Bar Mitzvah or Bat Mitzvah has a lot of moving parts, but it gets much easier when you know what needs to happen when.

Here is the timeline we walk families through, based on the Mitzvahs we produce across the Charlotte area. Every family is different, so treat it as a guide, not a rulebook.

12 to 18 months out: lock the big pieces

Your date usually comes from your synagogue, so start there. Once you have it, the pieces that book up first are the ones to secure:

  • The venue. Saturday nights at popular Charlotte venues go early, especially in spring and fall.
  • A planner, if you want one. A good planner pulls everything together and keeps you sane.
  • Photographer and videographer.

This is also the time to set a rough budget and decide how big you want the celebration to be. You don't need every detail yet, just the shape of the day.

9 to 12 months out: pick a direction

Now the fun starts. Sit down with your child and talk about what they want the party to feel like. Is there a theme? A favorite sport, a city, a color palette, a certain mood? A theme isn't required, but it makes every other decision easier, from invitations to lighting to the visuals on screen.

Think about the "wow" pieces now too, because they affect your floor plan and budget:

  • Lighting. Uplighting in your colors, moving heads over the dance floor, a custom monogram with your child's name.
  • Video. An LED video wall or TVs for montages, live crowd shots and custom graphics.
  • Photo booths. A 360 booth, Mirror Booth, roaming Social Booth or the full Signature Photo Experience.
  • Big moments. Indoor cold sparks for the entrance, a Cool Burst Blast at the peak of the party, or a special guest like Gizmo or the Neon Knight.

You can see all of these on our Enhancements page.

6 to 9 months out: invitations, décor and the guest experience

Order invitations, book décor and florals, and start thinking about what the kids will do besides dance. Teen guests love things they can take home: photo booth prints, custom hats or apparel, candy bars. Adults want good food, a place to sit and talk, and a reason to get up and dance.

If you have a theme, this is when it really starts to come together. Your theme can carry into custom motion graphics and video loops, whether it's a soccer theme, a New York skyline or neon and glow. Your guests see those visuals on the LED walls and TVs all event long.

3 to 6 months out: the details

  • Send save-the-dates if you haven't already, and invitations around 8 weeks out.
  • Ask family members who will take part in the candle lighting and the blessings.
  • Start collecting photos for the montage. This always takes longer than people expect.
  • Order favors, signage and anything personalized.
  • Confirm hotel blocks for out-of-town guests.

1 to 2 months out: the plan for the day

This is when your MC becomes your best friend. A few weeks before the event, you meet with your MC to go over the plan for your event: the grand entrance, the hora, candle lighting, speeches, games and the moments in between.

Bring your planner into that conversation if you have one. The more your MC, venue, caterer and photographer know about the timeline, the smoother your event runs.

The final two weeks

  • Give your final guest count to the venue and caterer.
  • Send the final timeline to every vendor.
  • Finish the candle lighting list and the order of speakers.
  • Deliver the montage photos and any special song requests.
  • Confirm load-in times with the venue so your vendors can set up without stress.

The day of

Eat breakfast. Seriously. Then hand the timeline to your team and let them run it. Your job is to be present for your child, hug your relatives and get out on the dance floor. Everything is set up and tested before your first guest walks in.

Frequently asked questions

How far in advance should we book a Bar Mitzvah DJ? As soon as your date and venue are set.

When do we meet with our MC? A few weeks before the event, to go over the full plan for your event. You can also reach the ATG team any time before that with questions.

Do we need a theme? No, but it helps. A theme gives your décor, lighting, invitations and custom visuals a common thread. If your child has a passion, that's usually the best place to start.

What's the most common thing families forget? The photo montage and the candle lighting list. Both take longer than expected, so start them early.

Is there a way to see everything before we book? Yes.
